RF Business System Shut-down and Upgrade

The Research Foundation for SUNY (RF) is implementing an upgrade to its business system that will be effective May 5, 2014.  This upgrade will provide operational improvements and greatly enhanced reporting capabilities for principal investigators and their administrative staff.   The upgrade will also require the current business system to be shut-down for a period of time. 

Between now and May 5, when the new release will be available to the campus community, there are several dates and specific information we wanted to make you aware of.  Proposal preparation, review, and submissions will NOT be affected by the shutdown.  Please review this information and contact Sponsored Funds at x7-6752 with any questions you may have.

Important Dates

  • Shut-Down:  Close of business Friday, April 25 until the May 5.  To accommodate the transfer of data and final steps of the upgrade, it requires the shut-down of the current RF business system.    During this shut-down period, the RF will not be able to process any transactions, i.e. purchasing, travel, reimbursements, personnel and payroll, or other account actions.   We will be able to provide confirming purchase orders and review balances on awards that would reflect transactions only through April 25, 2014.
  • Paperwork submission deadline:  Monday, April 21.   In order to meet your business needs prior to the shut-down, all RF transactions must be received by Monday, April 21.   Transactions received after that date will be processed only as the system permits.
  • Go-Live:  Monday, May 5, 2014.  The RF update goes live.   PIAI and Quick View will transition into the new RF Report Center.  See further information regarding the RF Report Center below.

We understand that this shutdown creates an inconvenience and we greatly appreciate your support and willingness to work with us to ensure a smooth transition. 

 

The RF PI Dashboard

On May 5, users will have access to the new RF PI Dashboard.  The dashboard will make it easier for principal investigators, department chairs, and deans to monitor their sponsored programs by providing:

  • critical notifications regarding time sensitive issues (i.e. employees terminating and reports past due)
  • enhanced reporting and data export options
  • flexible viewing options and more detailed drill down options
  • better search capabilities

RF PI Dashboard Training
On March 19, the Division of Research will be hosting a PI meeting and previewing the new RF Report Center.   In addition, the following training options are available:

  • Self- Paced Video SimulationsA 9 minute video demonstration of the new PI Dashboard is available and accessible 24/7 with any pc, laptop, or mobile device.  This video training can be accessed by clicking here. 
  • Web-ex Sessions – a webex session will be offered on Monday, April 28 at 11:30am.  You can register for this session by clicking here.
  • In Person Training -  the staff of Sponsored Funds will provide in-person training to principal investigators and their administrative staff.  If interested, please call x7-6752.
